Job Description:/h3:
Were looking for a front office administrative assistant to work at a small vocational training school in NW Houston.
The FRONT OFFICE ADMINISTRATIVE ASSISTANT is a highly responsible person who is directly responsible for the duties and activities of the schools support staff.
QUALIFICATIONS:
The school will hire only an Administrative Assistant who:
1. Is a high school graduate.
2. Has office experience in a related field preferred.
3. Demonstrates the ability to supervise and direct personnel and deal tactfully with the public.
4. Have good verbal and written communication skills.
5. Is organized, accurate, reliable, with good initiative and problem solving skills.
6. Computer skills, ability to make labels, fax, multi:task oriented.
7. Reliable transportation.
8. Good attendance record
DUTIES:
An ADMINISTRATIVE ASSISTANT shall:
Assist with clerical duties including:
1. Faxing documents and monitoring the fax machine throughout the day for incoming faxes and delivering them to appropriate individuals.
2. Filing
3. Giving student tours
4. Maintaining master registration list
5. Assisting with special projects
6. Completing 1098 forms once a year for students
7. Run credit card transactions as directed by the Financial Aid office or Business office, etc.
8. Maintain efficient office operations.
9. Maintain a neat work area.
10. Does not eat at the front reception work station
11. Assist in compiling marketing materials as needed.
12. Coordinate necessary meetings and departmental functions.
13. Originate and maintain administrative personnel files.
14. Perform employment verifications, and notifies employees of updated information needed.
15. Answer phones.
16. Check mail and manages phone calls as needed to phone company, utilities, water supplier, etc.
17. Deliver mail to appropriate individuals
18. Set up fedex and other overnight deliveries as requested
19. Schedules repair men and vendors as requested by the School Director
20. Open and close the building using the checklist provided and as trained
21. Secure the building before leaving for the day including shutting off lights and equipment as outlined on the provided checklist.
22. Turn on and fill water in coffee makers as trained and listed on the daily checklist.
23. Empty trash on Fridays in offices and take to dumpster.
24. Run the dishwasher twice a week or as full.
25. Completes Registered Representative Training and adheres to the TWC rules and regulations.
26. Assists with accreditation projects as requested.
27. Assists with regulatory projects as requested.
28. Conducts google and other simple research work as requested.
29. Perform other duties as assigned.
