Current Need Position Description Responsible for providing administrative and clerical support for two (2) department executives and their teams, including calendar and travel/expense management, presentation development and support, and other clerical support as needed. Schedules cross-functional, multi-person and multi-time zone meetings and serving as the point of contact for scheduling availability Coordinates complex travel arrangements Prepares and processes expense reports, may review expense reports submitted to the department by direct reports team members Plans and coordinates activities, often between departments and outside parties, including customer meetings, conferences, events, recurring meetings, special projects Assists in preparation of reports and presentations, including gathering information from all levels of the organization, summarizing, and formatting Maintains team resources such as contact lists and org charts Assists in the provisioning and onboarding of new team members Acts as a subject matter expert on existing organizational policies and procedures and assist in establishing new office policies and procedures as needed Assists in generating purchase orders and managing vendor invoices / payment tracking Orders office supplies on an as-needed basis Maintains physical and electronic files, ensuring all files are organized and updated on a regular basis as needed Additional projects and duties as needed Scope Works on assignments that are complex in nature where considerable judgment and initiative are required in resolving problems and making recommendations. May determine methods and procedures on new assignments and may provide guidance to other nonexempt personnel. Minimum Requirements 6+ years advanced administrative support experience Critical Skills Thorough knowledge of administrative support and advanced clerical experience Outstanding communication skills (verbal, written, and presentation skills) Advanced skills in Microsoft Office 360: Word, Outlook, Excel, PowerPoint Strong time management, project management, and prioritization skills: proficient at managing multiple tasks with demanding and often competing deadlines Exceptional organizational and execution capabilities with keen attention to detail People-savvy and able to navigate and flex to varied personalities and communications styles Excellent listening skills and ability to build relationships Flexibility to take on different roles and duties as required Ability to adapt and thrive in a dynamic environment Ability to anticipate activities and take proactive action with little or no direction Maintain confidentiality and exercise a high standard of judgment and discretion Additional Knowledge & Skills Proficiency with Outlook, Concur (Travel Booking) and One Source Knowledge of SAP T&E Experience utilizing Cisco telepresence, WebEx conferencing application & Office Communicator Education HS Diploma, Vocational Training or equivalent Bachelor's Degree preferred Physical Requirements General office demands Benefits & Company Statement McKesson believes superior performance individual and team that helps us drive innovations and solutions to promote better health should be recognized and rewarded.
