We are seeking a receptionist, The Administrative Assistant needs to be friendly, professional, patient, helpful and good listeners. They also need to be able to work well under pressure. A receptionist needs a clean and tidy appearance, and be able to communicate effectively. The person needs to have strong organizational skills.

Duties:

Greet and direct visitors Answers and transfers telephone calls Receive and Process mail Provide clients with fast and effective customer service Maintain all company files in an organized manner Administrative task include computer data entry, typing and filing Assist Accounting Manager with AP/AR responsibilities Process all A/P in a timely manner May organize catering and assist with other special events: For example: Yearly Holiday party and company sponsored employee events Field general inquiries about the company Assist with facilities management Ensure timely and accurate invoicing. Managing multiple calendars Making sure all surrounding areas are tidy before leaving for the day Assist HR manager with Recruiting, files, new hire process and other HR duties as assigned Assisting other departments as required Other duties as assigned

SKILLS REQUIRED:

Strong customer-focused orientation Strong verbal and written communication skills Strong leadership skills. Strong client relations, organizational and communications skills Strong attention to detail Ability to priorities Multi-tasking and efficient time management Exceptional organizational skills Display high levels of self-motivation Quality orientation with a strong eye for detail Ability to work in a fast-paced, deadline-driven environment with multiple prioritize. Proficient in all Microsoft Office applications specifically Excel and PowerPoint Ability to mediate issues and to exercise sound judgment for escalation of problems to higher levels of technical support and/or management. Ability to excel in a team environment that emphasizes total cooperation and mutual respect. Accounts Payable (AP), Accounts Receivable (AR) and billing experience General Ledger (GL) reconciliation are a plus A High Level Understanding of "QuickBooks" software is REQUIRED

Education and Experience

High School Diploma or equivalent (GED) is required.
Four (4) years general clerical/administrative experience is required.
