JOB TITLE: Logistics Clerk I Basic Function Provide high-level support to the Supervisor, Passenger Travel and for the travel unit's activities and day-to-day operations. Perform highly skilled clerical functions related to the documentation of the export of materials from the US requiring a comprehensive knowledge of international logistics (air or marine), and departmental procedures. Duties & Responsibilities Perform a variety of administrative and coordination responsibilities Coordinate reporting, operational and vendor functions (AMEX, Concur, airline, hotel and car vendors) Maintain Concur Cliqbook database; prepare reports, process invoices Compile and analyze routine travel data to facilitate decision-making Review and verify timekeeping and reporting of AMEX travel agency personnel Respond to questions concerning Concur Cliqbook booking issues, interpret travel policies and procedures and provide information for the resolution of the problems Perform highly skilled clerical activities requiring a comprehensive knowledge of international material logistics and cargo transportation procedures and regulations Select, accumulate and compile data, records and other information from multiple sources Prepare reports requiring extensive worksheets and data from several diverse sources, combine data into composite reports Verify accuracy of shipping documents and related paperwork and coordinate with vendors to make necessary adjustments Input shipping information and manufacturer's data into SAP to ensure clearance of material through Saudi Customs Review purchase orders for inspection and/or requirements and ensure inspection disposition is available when required; identify hazardous materials and ensures required certification is submitted by vendors Advise expeditors and buyers of vendor problems relating to furnishing information or complying with purchase order instructions Employ data quality controls to ensure the error rate in material ready for shipment is kept to a minimum Assist in the training and development of Logistics Clerks assigned to unit Perform other duties as assigned Education and Experience High school diploma or GED required Previous Travel department operations experience preferred Working knowledge of statistical and analytical tools and Windows based word processing, excel spreadsheet and database functions Experience with Concur Cliqbook (company travel system) preferred Six (6) years of progressive experience in the procurement and logistics field with three (3) years' experience in international logistics Sound understanding of regulations governing the classification and transportation of materials (Federal code of Regulations, OIC, DOT) Knowledgeable of import/export procedures, types of materials, hazardous classifications and storage requirements Proficient in database procedures and capable of tactful interaction with government agency representatives, vendors, and traffic carriers Must possess good work habits, a strong work ethic, and be able to adhere to company work hours, policies, and standard business etiquette Must be able to communicate and comprehend accurately, clearly and concisely in English at a level required to perform the job as outlined
