The Administrative Coordinator is a multi:faceted role that may support the functions of Finance, Payroll, Human Resources, DOT Compliance, Legal, Labor Relations, and other ARS Corporate departments. Key Responsibilities:General:Provide daily direction and communication to employees to insure functional duties are performed in a timely, efficient and knowledgeable manner.Coordinate and lead special projects.Based on extensive knowledge and experience, provide guidance to other employees to solve problems, answer questions, and research issues that may arise within the administrative function.Recommend methods to improve operation processes, efficiency and service to both internal and external customers.Serve as a resource for other departments on matters pertaining to functional area.Office Administration:Support the daily office functions by ordering supplies, business cards, processing incoming and outgoing mail, ordering computer for new employees and attending to the front desk.Operations Support:Support weekly inventory processGenerating POs and maintaining perpetual inventory ordering system, which may include the following; ordering product, receiving product and issuing product on a daily basis.Support Account Manager and department with administrative needs.Answer telephones and take/transfer messages to appropriate staff members. Meet and greet clients and visitors.Perform general clerical duties to include but not limited to copying, faxing, filing and mailing. Sign for packages. Sort and distribute mail and faxes to employeesConduct new employee orientations and appropriate paperwork for human resource, payroll and department fileMaintain all records to include attendance/vacation records, financial, training logs, invoices, pose correspondence, reports, and or miscellaneous forms independently or under general instruction as requested.Setup and coordinate meetings and conferences.Support staff with administrative needs.CMMS : Create custodial schedules, maintain/update space inventory, and responsible for training management team on TMA use.Assist custodians with signing off on yearly GPISD Salary Notice, Letter of Reasonable Assurance, Job Description and help custodians print out paystubs using their Employee Portal Services via online.Assist applicants fill out GPISD application via online.Contact Waste Connections when necessary. Prepare a daily sub:log and place sub:custodians for 28 campuses as needed.Verify clock punches for all custodians and sub:custodians on a daily basis.Add absences on a daily basis in clock punch verification for all custodians that were absent.Maintain staff attendance records. Ensure employees are properly accounting for their time.Plan and carry out preparations for the custodial annual awards program, appreciation luncheon, and department parties.Manage all department files; compose correspondence, reports, and/or miscellaneous forms as needed.Order office supplies, paper good warehouse supplies, and other custodial supplies from Warehouse as requested by each campus and or department.Screen and interview custodial applicants; participate in custodial training and annual training of all custodians.Distribute chemicals and custodial supplies to custodians as needed.Create custodial newsletter on a monthly basis and distribute to all d
