Amec Foster Wheeler is currently seeking an Executive Administrative Assistant to provide administrative support in all capacities needed to executives of the organization. Performs duties such as coordinating and setting meetings and conferences, obtaining supplies, working on special projects, preparing documents and correspondence and maintaining schedules, as required. Required to handle confidential and non:routine information on a daily basis Key Responsibilities Prepares presentations, reports, letters and routine correspondenceResponsible for answering telephones, arranging conference calls and responding independently to routine business questions or taking and delivering messages as neededLocates and attaches appropriate file to correspondence to be answered by employerOrganizes and maintains file system, and files correspondence and other records, as neededCoordinates executiveA?s schedule and independently makes appointmentsArranges complex and detailed travel plans and itineraries and compiles documents for travel:related meetingsCoordinates and arranges meetings, prepares agendas, and reserves and prepares facilitiesDirects preparation of records such as agenda, notices, minutes, and resolutions for corporate meetingsKeeps official corporation recordsPrepares outgoing mail and correspondence, including e:mail and faxesCompiles and types statistical reports, when neededHigh school diploma or equivalent required; Business school, AssociateA?s degree, or equivalent is a plus Over 10 years experience requiredProficient in MS Word, Excel, PowerPoint and other necessary software packagesSpeaks clearly and persuasively in positive or negative situationsListens and gets clarification; responds well to questionsWrites clearly and informatively; edits work for spelling and grammarVaries writing style to meet needs; presents numerical data effectivelyAble to read and interpret written informationUses time efficientlyApproaches others in a tactful manner; accepts responsibility for own actionsDemonstrates accuracy and thoroughnessAdapts to changes in the work environment; ability to maintain organization in a changing environmentDisplays willingness to make decisionsCommits to long hours of work when necessary to reach goalsPhysical RequirementsWhile performing the duties of this job, the employee is frequently required to walk, stand and sit and may require close vision workWe are an equal opportunity employer that recognises the value of a diverse workforce.
