Job Title:
Operations Manager/ Property Manager



Location: Houston, TX. IMPORTANT: We are a virtual company – we do not have a physical office at this time. This means you will work from h o m e. Team meetings will be at various locations in the Midtown / Montrose area. Some travel to various locations (primarily, properties you will help in managing) around Houston, primarily inside the 610 loop, will be required.



The company: You’ll work directly for a busy entrepreneur and investor as his right hand man/woman.



The position:
You will play a key role in this entrepreneur’s real estate investment and property management business and his gym management business as well as help manage other aspects of his business interests and personal life. You’ll handle a broad array of duties that are far more complex than those of an executive assistant or personal assistant. The role is a hybrid between property manager / office administrator / and personal assistant. The position is full-time, with 45 – 50 hour weeks being typical.



Compensation: Competitive salary, benefits, plus possible annual bonus based on company profits. Salary to be determined by analytical abilities and work experience.



Real estate related duties include: (15 ~ 20 hours a week expected)

· Sort mail, scan, and electronically file all paperwork.

· Accurately post all rent and other revenue payments and make deposits.

· Handle communication with tenants on a daily basis by phone and e-mail. Note: Some tenants only speak Spanish.

· Perform system updates on a daily basis to provide timely information regarding the activity and profitability of the properties.

· Handle tenant evictions when necessary. Implement the eviction and dispossessory warrant procedures according to policies, procedures and state law. This includes 3 Day Pay or Vacates, preparing eviction documents, and attending eviction court.

· Prepare leases for new tenants.

· Draft and distribute letters / e-mails to tenants, vendors, etc.

· Process previous resident's files after apartment has been inspected, prepare invoice for damage repair, and process refunds.

· Research vendors for various activities and provide summarized results of research.

· Keep contact lists and other lists up to date.

· Attend training classes mutually agreed to in order to enhance your knowledge of core job skills and functions.

· Visit properties from time to time to check on condition and review maintenance checklists.

· Market property vacancies, talk with applicants to pre-screen and ensure they fit criteria, schedule appointments, and process applications.

· Order parts from pre-approved vendors.

· Other duties as they arise.



Gym Management Duties include: (5 ~ 10 hours a week expected)

· Respond to customer service e-mails and phone calls.

· Process new gym memberships by entering appropriate information into the gym management software (currently MindBody.)

· Process adjustments and cancelations to existing memberships.

· Work with bookkeeper on any reconciliation related issues.

· Periodically visit the gym facilities (located in Montrose) to ensure facilities are in good order.



Other Business duties / Personal duties include: (remaining time)


· Respond to entrepreneur’s business emails.

· Market research

· Coordinate with third party vendors, especially through virtual assistant platforms such as UpWork

· Minor things like paying bills, booking travel and the very occasional errand.

· Other duties as they arise.



You should meet this description:

· You have strong verbal and written communication skills in English AND Spanish.

· You have:

o A bachelor’s degree.

o A relatively high IQ as evidenced by your college GPA or a short IQ test (details below).

o A credit score of 680+ (some exceptions allowed).

o A background check that shows no felonies.

o Experience using Microsoft Excel to analyze and solve problems.

o At least two years of full-time work experience.

o Solid references.

· You do not need:

o Experience with business or investments.

o Experience with Buildium, Quickbooks, or Mindbody (software applications currently in use.)

· You are:

o Smart.

o Analytical.

o Detail-oriented.

o Persistent.

o Goal-oriented.

o Good with people.

o Derive satisfaction from “getting things done” and keeping things organized.

o Likes numbers and accounting.

o Comfortable working on your own

o Ok with getting raises each year but not necessarily promotions.

· You can:

o See yourself in this position for 5+ years.
