Company: Keen Realty Management, LLCDepartment: Property ManagementFunction: Management and AdministrationTitle: Assistant Property Manager The Assistant Property Manager is responsible for providing first class service to our clients. Our clients include our owners, tenants, vendors and co-workers. The Assistant Property Manager assists in overseeing all physical and operational aspects of the properties within the portfolio and assist in fulfilling the requirements of the management agreement. The Assistant Property Manager reports to the Property Manager responsible for overseeing the portfolio. Duties:1 Answer phones and handle all incoming correspondence.2 Handle all IMPAK tenant work orders submitted. Work with engineering staff to ensure timely completion.3 Oversee service contracts on the property-bidding, renewing and getting new ones executed.4 Coordinate budget process with Property Manager and Owner - forms, deadlines, review, etc.5 Prepare monthly executive summary of activities that have occurred on the properties.6 Provide administrative assistance-copying, scanning documents, etc. as required.7 Code invoices for processing.8 Work closely with tenants to resolve tenant issues and to assist with tenant requests.9 Set up preventative maintenance schedules on equipment with the lead engineer.10 Oversee maintenance issues and direct the maintenance engineers on daily schedule11 Review utilities and make sure use is not out of the ordinary (no leaks, excessive use, etc.).12 Lease administration issues-prepare lease abstracts, enforcing lease provisions, etc.13 Coordinate tenant events.14 All other duties assigned that are property management related.15 Handle certificates of insurance required from the tenants and all service providers.16 Monitor and track permit compliance for the properties.17 Conduct property inspections, monitoring vendor compliance.18 Oversee risk management and emergency planning procedures.19 Assume the role of "On duty manager" when required.20 Assist leasing by giving space access and conducting space showing as requested; maintain the maintenance and cleanliness of vacant suites.21 Supervise Property Administrators, Property Assistants and field technicians. Supervise in accordance with the organizations policies and procedures and applicable laws. Develop and motivate staff through effective personnel management. Requirements:Minimum 2 year college degree Preferred Experience:Minimum 3 years previous experience in commercial property management. General knowledge of accounting, leases and service contracts is also a plus. Desired Qualifications:Certified Property Manager (CPM) or Real Property Administrator (RPA) a plus; must have a valid drivers license and be able to operate a motor vehicle, have reliable transportation, and be able to walk properties during inspections. Some minimal lifting of boxes and supplies necessary. Desired Skills:General Microsoft operating system skills in using a desktop computer. Confident and strong experience inMicrosoft Excel, Word. Adobe Acrobat . Basic knowledge in accounting softwares a plus. Experienced in putting together letters, proposals, etc. Must has a service oriented demeanor.
